Understanding Pre-Created Roles and Permissions

The organization's Company Admin manages the permissions of each employee and controls the information they are allowed to access.  Employees are assigned their own Roles, which each contain a list of functions available on the platform, these are called Permissions. The Company Admin both assigns the roles and may create new roles, which are relevant to the organization.

There are 4 predefined roles on the greenfence platform: Auditor, Company Admin, Internal Auditor, and the Operation Manager.  There can be unlimited number of users assigned to each role and users may be assigned more than one role.  The table below provides an overview of the roles to permissions linkage.

Legend: CA - Company Admin; OM - Operations Manager; A - Auditor; and IA - Internal Auditor.

 

Listed below is each permission, the role(s) to which it is assigned, and an overview of its purpose.

  1. Add Employee (CA) - ability to invite an employee into the organization and connect them to the organization and/or operation.
  2. Delete Employee (CA) - ability to delete an employee from an operation or the organization.
  3. Edit Organization Profile (CA) - ability to manage the organization’s profile to include modifying privacy settings, individual roles and permissions, messaging groups, employee invitations, and creating and managing operations.
  4. Manage Supply Chain Visibility (CA) - ability to edit your organization’s privacy settings to include how your organization, organization’s compliance, organization’s customers, and organization’s products and operations are viewed by your suppliers and customers.
  5. Create an Operation (CA) - ability to create a new operation within your organization and determine whether to feature this operation or hide this operation from public view.
  6. Edit an Operation (CA, OM) - ability to edit an operation’s name, description, type, address, whether to feature this operation or hide this operation from public view, and add an identifier (DUNS, GLN, etc.).
  7. Delete an Operation (CA) - ability to disassociate an operation from the organization hierarchy or permanently delete an operation from the organization.
  8. Add a Service / Product (CA, OM) - ability to add a new service or product to the organization or operation, and determine how that product or service will be viewed by your supply chain.
  9. Delete a Service / Product (CA, OM) - ability to delete a product or service from the organization or operation.
  10. Create a Folder in Documents (CA, OM) - ability to create an organization or operation folder for the upload of certificates and documents for authentication and storage.
  11. Edit or Update a Folder in Documents (CA, OM) - ability to manage a created organization or operation folder to include sharing, renaming, deleting, or moving it into another folder.
  12. Security - View Roles and Permissions (CA) - ability to view assigned roles and permissions for organization and operation users.
  13. Security - Change Roles and Permissions (CA) - ability to view and assign roles to organization and operation employees, and create new roles and with customized permissions.
  14. Create a Document (CA, OM) - ability to create an organization or operation document, determine if the document will be visible to the supply chain and featured on your profile, select authentication preferences, and select where the document will be stored on the platform.
  15. Edit a Document (CA, OM) - ability to edit an organization or operation document’s name, products or services, location, document tags, determine if the document will be visible to the supply chain and featured on your profile, select authentication preferences, and select where the document will be stored on the platform.
  16. View a Document (CA, OM, A, IA) - ability to view an organization or operation document associated to a specific user.
  17. View a Requirement (CA, OM) - ability to view an assigned organization or operation requirement for certificate and corresponding requirement workflow detail, and view requirements workflow status dashboard by activity.
  18. View Supply Chain (CA, OM) - ability to view supply chain of direct tier suppliers and customers for your organization and operations including compliance status, products or services, shared certificates and documents, within a map, tiered, or tree view.
  19. Manage Supply Chain (CA, OM) - ability to schedule and assign requirements to organization’s and operations’ suppliers, view scheduled and assigned requirement to organization and operations, and view status of assigned requirements to organization and operations.
  20. Complete or Fulfill a Requirement (CA, OM) - ability to view assigned and scheduled requirements to your organization, including authorization to perform required processes to complete requirement activities on behalf of your organization or operations.
  21. Assign a Requirement to Others (CA, OM) - ability to assign requirements to organization’s and operations’ suppliers, including the type of authentication requested, and due dates of key process activities.
  22. Manage Organization Structure (CA) - ability to manage your organization and operations’ structures including creating and assigning operations within tiers, inviting and linking suppliers and customers, and managing supply chain relationships.
  23. Authenticate Audit Document (A, IA) - ability of a certification body to authenticate an audit document as either a stand alone document or as part of the requirements workflow.
  24. View Organization Reports (CA, OM) - ability to view and access platform reports supporting invitations, profiles created, requirements, and audits completed operations.
