Managing Direct Suppliers in Your Organizational Hierarchy

Organizations are commonly structured in a hierarchical fashion where the organization has one or multiple operations and supporting functions.  You may create a replica of your organization’s structure within the greenfence environment.  In this Help Center guide we will describe the following functionality:

  1. Add a new Tier 1 Supplier to your organization
  2. Assign Tier 1 Suppliers to your organization and operations - Individual
  3. Assign Tier 1 Suppliers to your organization and operations - Group
  4. Move your Tier 1 Supplier(s) from one operation to another
  5. Delete your Tier 1 Suppliers from your hierarchy structure and/or organization
  6. Viewing active connections and pending connections and perform a search

                    

Add a New Tier 1 Supplier to Your Organization

 

You have two options for adding a new Tier 1 Supplier to your organization within the Organizational Hierarchy screen.  The first method is to click the ‘+’ icon located in uppermost row directly to the left of your organization’s name then clicking the ‘Connect Direct Tier 1 Supplier’ icon.

The second option of adding a new Tier 1 Supplier is located within the window containing your organization’s operations on the right side of screen.  To add suppliers using this process you must first change the default View from Operations to Direct Tier 1 Suppliers.  Click on the ‘’ icon to expose the Direct Tier 1 Suppliers label and select it.

You will then click on the ‘+’ icon directly to the right of the Direct Tier 1 Supplier label.

Either option of adding a Direct Tier 1 Supplier will redirect you to a new window where you will have the ability to Invite a Connection.  You will then be guided through a series of steps to Invite Connections to your Organization and / or your Operation.  Click the How do I invite suppliers to my network Help Center guide link for additional information on Inviting Connections.

Assign Tier 1 Suppliers to Your Organization and Operations - Individual

 

The greenfence platform allows you to organize and manage your organizational hierarchy by moving your existing Tier 1 Suppliers throughout your organization and operations and aligning to your existing structure.  Your organizational hierarchy will initially be structured how as you invited your Tier 1 Suppliers.  

 

In this example the organization Greg’s Customer 003 is connected with their Tier 1 Supplier Greg’s Tomatoes only at the organizational level.  You can tell this by where the Tier 1 Supplier resides within the organizational hierarchy.  Similar to our example of nested operations within an organization, you only see a ‘+’ directly to the left of the organization.  This informs you that only the organization has subordinate operations or supplier associations.

You have the ability to assign one or all of your Tier 1 Suppliers to any or all of your operations individually or all at once.  You will first be shown how to assign an individual supplier into an operation, then you will be shown how to assign a group of suppliers into an operation.

 

To assign an individual supplier into an organization or operation you would first need to open the appropriate level.  This will allow you to drag and drop the selected supplier and associate it with the correct entity.  Click on the ’Open Level’ icon found on the right-hand side of the screen, below the ‘Manage Levels’ button, for the corresponding entity.  A ‘Drag and Drop’ box will appear beneath the selected entity.

Select the supplier that you would like to associate with Operation 001, from the right side listing of operations, by checking the box aligned with the desired operation.  Then drag and drop the operation into the open box.

Once you release the operation into the box, a ‘Move to Level’ button appears.  Click the ‘Move To Level’ button to complete the association.

The greenfence platform is configured requiring you to notify your Tier 1 Suppliers that you would like to connect either with their organization or operation(s).    In this example only the supplier Greg’s Tomatoes and its operations Tomato Distribution and Tomato Inspection were connected with the organization Greg’s Customer 003.  By moving Greg’s Tomatoes organization into Greg’s Customer 003 - Operation 001, you will be asked if you would like to notify and request that your supplier Greg’s Tomatoes accept your connection request.  


You may either select ‘No, move the supplier without needing them to accept a new connection request,’ or ‘Yes, move the supplier but require them to approve the new connection request.’  Click on ‘Continue’ to record your selection.

By selecting ‘No’ a pop-up appears stating ‘Supplier connected to operation successfully.  It may take some time to show up in the system.’  Click ‘OK’ to dismiss this message.  Note: It is recommended that you refresh the page to view the new association.

You will now observe that supplier Greg’s Tomatoes has been successfully associated with operation Greg’s Customer 003 - Operation 001.

Conversely, by selecting the optionYes, move the supplier but require them to approve the new connection request,’ and clicking on ‘Continue,’ a pop-up window appears informing you that an ‘Invitation to connect sent successfully.’

This option effectively results in the same outcome as the standard process of inviting a Tier 1 Supplier to connect to your organization and / or operation(s).  You will not have the ability to view the supplier within your organizational hierarchy until they accept your invitation to connect.

 

Assign Tier 1 Suppliers to Your Organization and Operations - Group

 

You also have the ability to assign some or all of your Tier 1 Suppliers to any or all of your operations all at once.  This process is very similar to assigning your Tier 1 Suppliers one at a time.  

 

In this example the organization Greg’s Customer 003 is connected with their Tier 1 Supplier Greg’s Tomatoes only at the organizational level.  You can tell this by where the Tier 1 Supplier resides within the organizational hierarchy.  Similar to our example of nested operations within an organization, you only see a ‘+’ directly to the left of the organization.  This informs you that only the organization has subordinate operations or supplier associations.

To assign some or all of your Tier 1 Suppliers into an operation or organization you would first need to open the desired level.  This will allow you to drag and drop the selected suppliers and associate them with the correct entity.  Click on the ’Open Level’ icon found on the right-hand side of the screen, below the ‘Manage Levels’ button, for the corresponding entity.  A ‘Drag and Drop’ box will appear beneath the selected entity.

You have two options of selecting all of the suppliers that you would like to assign.  First, you may check the ‘Select All’ box located above the listing of Tier 1 Suppliers.

Or you may individually check the boxes corresponding to the Tier 1 Suppliers that you would like to simultaneously assign.

Once you have selected the suppliers that you would like to associate with Operation 001, click and then drag and drop the operation into the open box.

Once you release the operation into the box, a ‘Move to Level’ button appears.  Click the ‘Move To Level’ button to complete the association.

You may either select ‘No, move the supplier without needing them to accept a new connection request,’ or ‘Yes, move the supplier but require them to approve the new connection request.’  Click on ‘Continue’ to record your selection.

Move Your Tier 1 Supplier(s) from One Operation to Another

 

You may also modify your organization hierarchy by clicking on the icon associated with the Tier 1 Supplier(s) that you wish to move from the organization or operation to another.  For reference you will see a black ‘►’ next to the operation where your move will occur.

The operation will be set in its new structure once you release your mouse button.

Similar to adding a Tier 1 Supplier to an operation, you will have the same options of notifying your Tier 1 Supplier when they are moved from one operation to another.

 

Delete Your Tier 1 Supplier from Your Hierarchy Structure and/or Organization

 

You have the ability to delete a Tier 1 Supplier from your Organizational Hierarchy structure or completely from your organization within the Direct Tier 1 Supplier view.  We will describe the steps to complete each activity.

 

You may only delete a Tier 1 Supplier from your hierarchy and still have it remain within your organization for reassignment in the future if it is located in an operation.  To remove a Tier 1 Supplier from your operation click on the ‘ellipsis’ icon to the right of the desired entity within the identified operation and select ‘Remove from Operation.

The Tier 1 Supplier is removed from the Organization Hierarchy but is still available for reassignment in the future.  Note: You have to individually remove each Tier 1 Supplier as there is no bulk removal functionality.

 

To remove a Tier 1 Supplier from your Organization, click on the ‘ellipsis’ icon to the right of the entity you wish to delete and select ‘Delete Operation.’  



Warning: If you choose to delete a Tier 1 Supplier from your Organization you will have to send a new Invitation to Connect to this entity.

You will receive the notification that your Direct Supplier has been successfully removed.

The operation is now permanently removed from the organization. You will no longer see your Tier 1 Supplier in you Organizational Hierarchy or in your listing of available supplier.  Note: Tier 1 Suppliers may only be deleted from the organization after all associations have been removed.

 

Viewing Active Connections and Pending Connections and Perform a Search

 

The final functionality found on the Organization Hierarchy page within the Direct Tier 1 Supplier view is to view active and pending connections.  We will describe the steps to complete each activity.

 

Your default view within the Direct Tier 1 Supplier view displays your current active connections with your supply chain.

You may also view your current pending invitations to connect by selecting the ‘Pending’ tab.  Displayed are all active invitations across your supply chain.

You may also perform a search within this screen by typing names or portions of names within the ‘Search for Direct Tier 1 Supplier’ or ‘Search for Pending Direct Suppliers’ text box.  Any suppliers matching your entry will automatically appear.
